About the role

This position aims to support the HRBPs team in the implementation of Engagement/ Talent initiatives across Corporate/ Group IT while defining, executing, and continuously improving administrative HR processes: 

  • Structure and standardize common HR administrative processes across teams, such as FTE reporting, HR KPIs, organizational charts, and data maintenance through HR systems. 
  • Assess and implement optimal and efficient ways of working to reduce workload, improve accuracy, and enhance data availability. 
  • Support the implementation of Engagement/ Talent initiatives across Group IT, in alignment with the HRBPs team. 
  • Maintain clear and consistent communication with HRBPs to ensure understanding and alignment of expectations within the team. 

Key Job Accountabilities

HR Processes 

  • Work closely with HRBPs to propose workflows and timelines for executing HR processes. Ensure clarity on roles and responsibilities and maintain constant alignment with the team. 
  • Continuously seek process improvements to optimize transactional workload and enhance the HR team’s efficiency, while ensuring accuracy and agility. 
  • Conduct the IT Awards Program end-to-end: update forms, handle internal communication, gather nominations, coordinate the voting process, and ensure awards are properly delivered to winners. 
  • Keep the Talent section of the One IT page regularly updated. 

 

HR Reporting & Analytics 

  • Regularly update the database of active IT co-workers by region and function. 
  • Maintain monthly control of new hires, leavers, and internal movements, ensuring proper updates in HR system profiles, including contractors. 
  • Periodically provide demographic analyses of the IT population (e.g., age, gender, seniority, TMS status, anniversaries). 
  • Structure and maintain HR KPIs for the IT population (e.g., turnover rates, main reasons for leaving, number of promotions/salary adjustments). 
  • Update organizational charts monthly. 

 

HRBP Initiatives  

  • Design and coordinate the IT Internship Program for LATAM, including structured development initiatives to support young talent in the IT Operations team. 
  • Coordinate the English Program for LATAM IT co-workers, maintaining close contact with the provider and keeping managers updated monthly on participants’ learning progress. 
  • Collaborate on managing the Online Learning Platform, ensuring licenses are tracked and learning reports are available, in line with HRBP guidance. 
  • Support the implementation of engagement initiatives for LATAM IT co-workers, such as regular Town Halls, IT Professional Month, and IT Academy. 
  • In alignment with the HRBP, conduct recruitment processes on an ad-hoc basis for LATAM IT positions that do not require English fluency.

 

 

 

Qualifications/Requirements

 

  • Bachelor degree in Administration or related areas.  
  • Minimum of 2 years of experience in administrative positions ideally in multinational companies.  
  • Desired background in HR  and/or interest to work on the area. 
  • Desired advanced level of English for written and verbal skills.   
  • Good knowledge and use of Excel/ Microsoft package in general
