About the role

The Health and Safety Administrator is an important role within the department to provide support in terms of general administration of day to day information through data analytics, providing reports, ensuring documentation and critical information is clear, concise and readily available.  

You will report to the HSE Manager and the working hours are Monday to Thursday 08:00 am - 17:00 pm; Friday 08:00 am - 16:00 pm

 

Key Job Accountabilities 

As part of the Health and Safety Administrator Role you will

  • Support the Health and Safety Manager to deliver the Health and Safety Plan for the site.
  • Act as the site administrator for Company SAM,s system, the H&S SharePoint section ensuring that both are accurate and up to date.
  • Administering a variety of meetings, and other working groups overseen by the Health and Safety Department, including scheduling the meetings, taking minutes, issuing actions and monitoring the progress against those actions.
  • Supporting the Health and Safety Manager to prepare Board reports, monthly reports and any supporting documents by analysing existing data.
  • To regularly produce accurate reports on incidents/accidents and provide trending information.
  • Monitoring all incidents received and ensuring that these are logged and followed up.
  • Overseeing outstanding and overdue incident investigations and associated actions and providing a monthly update to the Health and Safety Manager.
  • To support interesting and diverse projects which will improve safety and behaviours at the site, with the aim to lead such projects in the future.
  • To prepare and arrange HSE Training throughout the business.
  • To assist the Health and Safety Manager with site improvements, required changes and any accident/incident investigations.
  • To manage internal Environmental/Safety auditing and inspection system, to monitor and measure targets.
  • Providing other support to the Department as required.

Qualifications/Requirements 

  • Proven experience in an office administration role, supporting a team
  • Self-motivated, able to manage a varied workload and work to a schedule
  • Attention to detail and problem-solving skills
  • Competent in the use of the Microsoft suite of applications
  • Initiative to work on own or as part of a team
  • Ability to prioritise and have good skills with the control of documentation
  • Ability to communicate effectively with staff at all levels
  • Ability to work in an environment that would have constant changing priorities
  • Willingness to learn, wanting to grow and develop
  • Excellent listening skills
  • Approachable and supportive personality
  • Ability to maintain confidentiality and handle sensitive information
  • Proven ability to work under pressure and prioritise own work
  • IOSH Managing Safely Qualification
  • Previous experience gained in a similar role
  • Have a proven understanding of environmental and health and safety legislation, and knowledge of sources for reference
